How to become a member of the ECGC?
To join the ECGC please fill out the online application form (have to be on ESA network for now).
You will be able to use the services of the club the same day or the next day and will be provided with detailed instructions on how much to pay, how the club works, etc. Please read them carefully.
How much does the membership cost?
The membership fee for a whole year is 48€ (new members pay an additional joining fee of 5€).
Should you enter the club during the year or leave Estec before the end of the calendar year, the membership fee is pro-rata of the months remaining in the year (i.e. 4€/month).
The online application form (have to be on ESA network) automatically calculates the amount due.

The amount should be transferred to the account of the Estec Console Games Club (40.52.34.902 in Noordwijk).

You will then receive a membership card that allows you access to and use of the ECGC.
Should you already be member of the Estec Video Club (EVC), Music Club (EMC), Book Club (EBC) or DIY Club, you do not need an extra membership card. The EVC/EMC/EBC/ECGC/DIY card is valid for all these clubs.
How many items can be checked out at a time? For how long?
4 games, for 21 days maximum.
How are games organized?
PS2 and VITA are numbered 600000 to 600099
PS3 are numbered 603000 to 603299
PS4 are numbered 606000 to 606999
PS5 are numbered 609000 to 609999
Xbox360 are numbered 601000 to 601199
Xbox-ONE are numbered 607000 to 607999
Xbox-XS are numbered 600100 to 600499
Nintendo Wii are numbered 602000 to 602199
Nintendo Wii U are numbered 605000 to 605099
Nintendo DS are numbered 604000 to 604099
Nintendo Switch are numbered 608000 to 608999
How to find a particular game? How to suggest a new one?
The database is available from any computer behind the ESTEC firewall (ESA365).
If you log in using your full email address and your member number, you can suggest games to be purchased by the club, reserve hardware, and export the database in e.g. Excel.
All these functions (logging in, suggestion, reservation, etc.) and more are demonstrated through some very short (one minute or less) instructional videos (links to videos are broken, to be updated). Do check them out!
How to check items out?
Pick the items you want to check out, go with them at the counter and present them along with your membership card (or your ESTEC badge until you get your card).
How to return items?
Present your membership card and your returning items to the counter; make sure the discs (and booklet if any) are inside their respective boxes, you can even open the boxes to facilitate the work of the volunteers behind the desk. Once scanned, take the items with you and put them back on the shelves where they belong (side labels show the item number).
What else can be checked out?
The ECGC also offers equipment that can be used at no extra cost, such as Nintendo/Microsoft/Sony consoles, accessories, videoprojectors…
How to reserve a piece of equipment?
Log in the database system, click on “Console Hardware”, then on the item you wish to reserve, click “Reservation” and follow the instructions.

When is the club open?
The club room (Ya019) is open (pending enough volunteers):
on Mondays, Tuesdays, Wednesdays and Thursdays, from 13:00 to 13:30 hrs.
and on Fridays, from 12:30 to 13:30 hrs.

How to help? How to become a volunteer?
EVC, EMC and ECGC are run by volunteers who give some of their time to the clubs.
You can help, too, if you want, e.g. by
– assisting behind the counter for half an hour 1 to 3 times per month,
– helping complete/correct/maintain the databases,
– helping before (e.g. to set up), during (e.g. to record or videotape) and after (e.g. to clean up) the concerts

What are the club rules?
The latest club rules can be found here (as a Word document – broken, will be updated soon).
How to opt out of the club?
To opt out of the club, just email the Treasurer (Committee member).
If you stay at ESTEC, no need to give back your membership card/sticker, as it may be used for other clubs… plus you will hopefully become member again in the future!
Otherwise, you may just destroy your card/sticker.
In any case, please make sure to return all checked out items by the end of your membership.
